Office Coordinator
Gehl is looking for an Office Coordinator to join our team in the US, location San Francisco. In this role, you will play a crucial part in ensuring the smooth operation of our office and supporting our HR and Finance functions. You will collaborate with various teams to maintain an efficient and welcoming work environment and assist with different kinds of tasks all related to the process of running a professional studio.
This is a full-time junior to mid-level position. We imagine that the ideal candidate will have 3 or more years of prior work experience, possesses strong organizational and interpersonal skills, and has a keen eye for detail.
The role will report to the Team Director of our San Francisco Team but will also work closely with our Senior Controller based in New York and our HR Director based in Copenhagen – and all the other Gehl’ers.
Areas of responsibility
Manage day-to-day office operations, including maintaining office supplies, coordinating with vendors, and ensuring a tidy and functional workspace.
Assist with HR tasks such as recruitment of interns, onboarding and offboarding.
Support the planning and execution of company events and meetings in San Francisco.
Handle incoming communications and requests from across the Gehl organization.
Assist with expense reports, and reimbursements.
Assist with the preparation of proposal documents for BD efforts.
Maintain Gehl US business documentation (insurances/licenses etc) .
Provide administrative support to various teams as needed.
You have a bachelor's degree or equivalent in an admin related field.
You ha\ve proven experience in office coordination, finance assistance and HR coordination (2-3 years).
You have excellent interpersonal and communication skills.
You can work collaboratively in a friendly but fast-paced environment with many interactions on a daily basis.
You are a self-starter with the ability to work autonomously while ensuring alignment with the greater team and relevant stakeholders.
You are proficient in Microsoft Office Suite
You are service minded, organized and with a keen eye for detail and a proactive approach to problem-solving.
